Look up inventory and grading certificates

Find your own inventory by CaseLink code or check a certificate using an explicitly selected grading source.

Lookup handles two different jobs: finding one of your inventory records and checking an external grading certificate. Choose the correct source first.

Lookup appears only when the beta feature is enabled for your dealer workspace. Looking up does not require Manage inventory. Actions for adding or importing remain unavailable without that permission.

Choose the source deliberately

The source bar contains CaseLink, PSA, BGS, SGC, and CGC. Your selection determines how CaseLink normalizes the input and where it is sent.

A certificate's grader cannot be identified safely from its number alone because grader number ranges overlap. Always choose the grader printed on the slab. CaseLink does not guess it.

Find your own inventory

  1. Select CaseLink.
  2. Type the suffix after the fixed CL- prefix, or scan the complete code. A pasted CL- prefix is not duplicated.
  3. Alternatively, paste the full UUID or a copied inventory URL.
  4. Select Lookup or press Enter.

With exactly one match, CaseLink opens the record directly. If several records share a short suffix, it shows a result list for you to choose from. The search is restricted to the active dealer account and cannot return another dealer's records.

After a scan, always compare name, variant, grade, and condition with the physical item. A barcode confirms the database association, not authenticity or condition.

Check a grading certificate

  1. Select PSA, BGS, SGC, or CGC to match the slab.
  2. Copy the certificate number exactly. Preserve BGS leading zeros, a hyphen on an older SGC number, and every letter in an alphanumeric number.
  3. Select Lookup.
  4. Verify at least the grading company, certificate number, grade, card, and displayed data source.

External providers do not return the same fields for every certificate. Images, population, and market information can be absent. If CaseLink reports an unconfirmed description match, the item was not confirmed by a direct certificate hit; review every field especially carefully.

Results can come from a dealer-specific cache for up to 30 days. Fresh external requests are limited and can fail temporarily during a provider outage or after a rate limit is reached. Local CaseLink inventory lookup does not require an external certificate provider.

Use the result

When Add to inventory is shown, you can carry recognized data into a new card form. Existing values are not blindly overwritten; review the form before saving. This action requires Manage inventory.

An additional purchase action appears only when acquisitions are enabled and your permissions allow the financial workflow.
