Find and bulk edit inventory

Search and filter the complete catalog, then safely edit up to 500 selected items.

Use search and filters to find physical items quickly. For repeated changes, continue into the full-page bulk editor.

Reading and searching do not change data. Selection, channel changes, bulk editing, and publishing require Manage inventory. Private costs and notes additionally require View financials.

Search and filter

Search inventory searches name, player, card number, sport, parallel/variation, manufacturer, set, and storage location. You can also filter by:

  • inventory status and item type,
  • sport, year, and grading company,
  • manufacturer and storage location,
  • minimum and maximum sticker price,
  • image and active channel listings.

Quick filters include Drafts, No image, No storage, High value, Show ready, and Active channels. Active channels, like the other filters, applies to the complete catalog rather than only the visible page.

Show ready requires In Stock, a positive sticker price, and a storage location. When the collector portal and offers are enabled, it also requires an image.

View and sort

Switch between grid and table view. You can sort by:

  • recently or oldest added,
  • price high to low or low to high,
  • name A to Z,
  • year newest or oldest first.

Sorting and server-side filters apply to the complete result across every page. Use a consistent storage location such as Box A / Row 3 so search, show selection, and the pull list use the same wording.

Track sales channels

On an item's detail page, use Channels to document where it is offered. Available channels are eBay, Whatnot, Consignment, Direct, Show, and Other. A record can be Listed, Reserved, Consignment, Sold, or Ended and can include an optional price, external ID, URL, and notes.

Active channels covers Listed, Reserved, and Consignment. CaseLink documents these listings; it does not automatically synchronize or end them on external platforms.

Select multiple items

  1. In Inventory, choose Select.
  2. Select individual records or use Select page.
  3. Change the search or page when needed. Your selection is retained.
  4. Open Bulk edit. The editor loads at most 500 selected items, and each save processes at most 500.

Work in the bulk editor

The editor shows one row per item. You can show or hide columns, filter a column, set a value for visible rows, or fill values down.

Editable fields include identity, player or subject, sport, year, manufacturer, set, card number, parallel/variation, serial number, grade, certification number, language, rarity, condition, description, storage location, and sticker price. Minimum price, buy price, all-in cost, and private notes appear only with View financials.

The field editor cannot change:

  • item type,
  • inventory status,
  • quantity on hand,
  • images,
  • listing status.

Those fields have separate safety or lifecycle workflows. Save field changes first with Save. Then publish or hide selected complete records separately with Publish or Unpublish. The bulk action checks for a name, positive sticker price, and image before publishing. Inventory status remains unchanged and additionally determines whether the active item can appear in a customer-facing view.
