Inventory types, quantities, and status

Every inventory record has an item type, a quantity on hand, and an inventory status. Choose the type carefully when creating or importing an item: it cannot be changed later.

Creating and editing items requires Manage inventory.

Item types

CaseLink supports:

• Card
• Art
• Sealed box
• Sealed pack
• Sealed case
• Repack
• Memorabilia
• Supply
• Other

Use Card for one identifiable physical card. Use a non-card type for products such as boxes, packs, supplies, or memorabilia.

Single cards and stackable items

A card represents one physical item. Its quantity on hand cannot be greater than one.

Non-card items are stackable. Set their starting quantity when creating or importing them. Sticker price, minimum price, buy price, and all-in cost are stored per unit.

After creation, do not try to correct stock by editing the quantity field. Sales, trades, purchases, and void workflows maintain quantity and status together.

Inventory status

• In Stock and Consigned are stock-bearing states and require a positive quantity.
• Sold, Traded, and Voided are terminal inventory states and have a quantity of zero.

For a stackable item, a partial sale reduces quantity and leaves the item In Stock. Selling the remaining quantity changes it to Sold.

The status of an existing item is not a free-form edit. Use the relevant sale, trade, purchase, or void workflow so stock, reports, and audit history remain consistent.

Inventory status and visibility are different

Inventory status describes physical stock. Draft and Active instead describe whether an item is eligible for customer-facing publication.

An active listing is not public by itself: inventory status, show assignment, and the enabled collector features still apply. See Add and publish inventory items for how CaseLink classifies new records and how to publish them.

Before saving a new item

Verify the item type, starting quantity, and initial status. After the item is created, the item type is locked and lifecycle changes must go through their dedicated workflows.
