Run Show Day
Find items, record sales, and place holds without losing inventory accuracy.
On show day, a short and consistent process matters. Show Day is an internal tool and works while the show is still in Draft.
Availability and permissions: Show Day requires the Shows feature. Lookup and barcode search require Lookup. Changing pull state requires Mark pulled. Recording or changing sales requires Record sales. Offer and hold controls require Offers, dealer offers enabled, and Manage holds.
Open the booth
- Open the correct show.
- Verify the date, assigned inventory, and pull status.
- Check the connection and battery level of each device in use.
- Test the Show Day list and, when available, lookup or barcode scanning with an item from the booth.
- Confirm each team member's permissions before the first transaction.
- Agree on how the team will document an interruption.
Record a single sale
- Find the exact item in the Show Day list or use lookup or scanning when available.
- Compare its variant, identifier, and effective show or sticker price with the physical item.
- Select Add to Sale.
- Enter the amount actually agreed and the payment method.
- Complete the record only after payment is confirmed.
- Check the sale and remaining inventory before moving to the next customer.
For a stackable item, enter a whole quantity no greater than the available stock. The sale amount is the total for that quantity, not a unit price.
Check out several items
Show Day also supports one transaction containing several items from the same show. Add the items to the sale, verify each price and quantity, and then complete the cart once. A cart can contain at most 200 items. If you override the combined total, CaseLink allocates it across the items to the cent and saves the transaction atomically.
Place a walk-up hold
When offer controls are available, use a walk-up hold to reserve an item for 15, 30, 60, or 120 minutes, or without a timer. The hold removes the item from public availability until it is released or expires. Placing or releasing the hold needs Manage holds; converting it into a recorded sale also needs Record sales.
Show Day displays the effective show or sticker price, but not a private minimum price. Set internal approval limits before opening.
Read Offers and holds for the full lifecycle.
Table Mode
Table Mode is currently not available as a usable production workflow. Do not base staffing, device access, or booth operations on Table Mode sessions.
Handle a connection interruption
Avoid duplicate entries. Temporarily note each sold item with its time, identifier, quantity, and total amount. When the connection returns, check the current state first and add only missing transactions.
Close the day
Compare sales with payment records and remaining inventory. If you use the public collector portal, change the show to Ended with Manage inventory. Then review expenses, unresolved holds, and inventory in the close-out workflow.
