Add and publish inventory items

Create cards and stackable items, add photos, and control their visibility.

Manual entry works well for individual cards, sealed products, memorabilia, supplies, and other items that you do not want to import from CSV.

Adding or editing inventory requires Manage inventory. Buy price, all-in cost, minimum price, and private notes additionally require View financials. Without it, those fields are not shown or saved.

Create the item

  1. Open Inventory.
  2. Open Add item and choose the matching type, such as Card, Sealed box, Memorabilia, or Supply.
  3. Enter the card name or item name. A name is always required.
  4. For Card, quantity is fixed at one physical copy. For a stackable non-card type, enter a positive starting quantity.
  5. Add only the identity fields that apply. For a card, these can include player, sport, year, card number, parallel/variation, set, manufacturer, storage location, and serial number.
  6. For graded cards, add the grade, grading company, and certification number. If PSA certificate lookup is shown, you can prefill empty fields; review every value it supplies.
  7. Enter the sticker price. With View financials, you can also enter minimum price, buy price, all-in cost, and private notes.
  8. Add condition and a photo when they apply.
  9. Save with Add card or Add item.

Read Inventory types, quantities, and status before creating a non-card item. Prices on stackable items are stored per unit.

Manage photos

In the form, Upload photo uploads an image and resizes it automatically. On the detail page, you can then select multiple files, manage up to five images, and set a different image as the cover. Gallery uploads are saved immediately.

Remove an image only when the item should no longer be public or another cover already exists. The cover is used in inventory and show views.

Draft or Active

When an item is created, CaseLink derives its listing status from the saved content:

  • Active: name, sticker price greater than zero, and an image are present.
  • Draft: at least one of those three values is missing.

For an in-stock draft, use Publish on its detail page once it is complete. Use Unpublish to return an active listing to Draft. If you later remove the image or positive sticker price, CaseLink automatically returns an active listing to Draft; after restoring the missing value, publish it again.

Active means the item is eligible for customer-facing views. Inventory status, show assignment, and the enabled collector features additionally determine where it actually appears.

Verify the result

Open the new record and check:

  • item type, identity, and quantity for a stackable item,
  • cover image, condition, and storage location,
  • inventory status and listing status,
  • sticker price and private pricing fields,
  • for cards, the exact release and certification number.
