Record and correct sales
Capture complete sales and fix mistakes with a traceable process.
A sale can cover one individual card or a quantity of a stackable product. Before completing it, verify the physical item, quantity, and agreed total price.
Availability and permissions: You need Record sales to record, correct, void, or reopen a sale. Financial columns elsewhere can additionally require View financials.
Record a sale
Start from Sales → Record Sale, a card detail, an accepted offer, or Show Day.
- Select the exact inventory item.
- For an individual card, verify its variant, condition, and unique identifier. Its quantity is always
1. - For a stackable product, choose a whole quantity from
1up to the available stock. - Enter the agreed transaction total for the selected quantity, not the unit price.
- Select the payment method and, when relevant, the show and linked offer.
- Confirm only after payment succeeds.
- Review the recorded sale and remaining stock.
Recording the sale reduces quantity on hand. An individual card, or a stack whose remaining quantity reaches zero, changes to Sold. A partially sold stack remains In stock with its reduced quantity.
Optional completion controls can also remove an item from the show portal, end its sales channels, or update a linked offer. Review those choices instead of assuming every cleanup action happens automatically.
For several items from one show, use multi-item checkout.
Review mistakes immediately
If the total, payment method, item, or association is wrong, open the affected sale and compare it with the payment record. Do not create a second sale as an offset.
Correct a recorded sale
Correct sale details is available only for a sale with Recorded status. You can change the offered fields for sold price, payment method, and valid show or offer associations.
Reassigning the inventory item is more restricted:
- the recorded quantity must be
1, - both the existing and replacement records must be individual items,
- stackable-sale reassignment is not supported.
For a foreign-currency sale, the recorded sold price is locked; you can still correct its payment method and valid associations.
The sold quantity cannot be changed later. Every correction requires a reason and is stored in the audit history.
Void a sale and return inventory
Use Void sale when the sale did not happen or was fully reversed. A reason is required. The sale changes to Voided and is removed from revenue and show result totals.
A void does not return the item to inventory automatically. Enable Return card to inventory when the sold quantity should become available stock again. The show association remains in place; public show availability for a previously exhausted item can remain hidden and must be enabled separately when appropriate.
Reopen a voided sale
Reopen sale is available only for a sale with Voided status. Enter a reason and confirm that the sale should return to recorded reporting. CaseLink reopens it only when the inventory and any linked offer still safely match the sale. If inventory was returned during the void, the recorded sale quantity is deducted again when the sale is reopened.
If a voided sale has incorrect details, reopen it first and then use Correct sale details.
After every change, verify:
- status and audit history,
- sold quantity and remaining stock,
- sale total and payment method,
- show and offer associations,
- payment reconciliation.
Do not create a second sale to hide an incorrect first record. That makes inventory, reporting, and later review harder.
