Understand sales and inventory reports
Read Sales Insights, Show Performance, and Inventory Velocity without overstating the data.
Reports turn recorded transactions into operational views. Their accuracy depends on complete sales, costs, expenses, acquisitions, and trades.
Availability and permissions: The dealer needs Reports and the user needs View financials. A hidden report usually means the feature or permission is missing, not that the underlying transactions were deleted.
Sales Insights
Use the date-range picker for a preset, period-to-date, or custom range. The default view covers the last 30 days. The comparison uses the immediately preceding range of equal length.
Sales Insights includes only sales with Recorded status. Its main metrics are:
- revenue,
- profit and margin,
- items sold, using recorded quantities,
- average revenue per transaction.
Cost uses all-in cost when present, otherwise buy price. If neither is recorded, CaseLink currently treats cost as zero; the full sale amount therefore appears as profit. Treat this as a missing-cost warning, not confirmed margin.
Use the breakdowns to review the timeline, profit and loss, show versus direct activity, players, sets, payment methods, price bands, margin quality, sports, largest sales, and revenue by show.
Show Performance
Choose a date range to compare the 24 most recent shows in that range. The report combines recorded show sales, recorded expenses, and active, non-cancelled acquisition and trade context.
Read the figures as:
- Operating result: revenue minus recorded expenses.
- Cash after purchases and trades: operating result minus purchases, plus trade cash received, minus trade cash paid.
- Store credit: tracked with trade activity but not counted as cash received.
These are operational records, not tax or statutory accounting statements. Missing expenses or costs can materially change the interpretation.
Inventory Velocity
The selected date range applies to sold-item velocity. Active-inventory aging reflects the current inventory set, not only items created in that sales range.
The sold analysis uses Recorded sales. Active aging includes items currently In stock or Consigned. Days to sell starts from the earliest non-cancelled acquisition date or incoming-trade date when available; otherwise it starts from the item's creation date.
The sold-detail analysis is limited to the 1,000 most recent matching rows. When the page shows a partial-data warning, do not treat that sample as a complete lifetime total. Active inventory is loaded separately.
Improve report quality
- Correct incorrect sales instead of offsetting them.
- Record purchases and trades using the correct workflow.
- Add show expenses before final comparison.
- Fill missing cost data before relying on profit or margin.
